Email QS

Since version 5.4 you can use the function of Email QS - Principle of 4 eyes.

With this function emails will be send first to another employee for auditing before it will be sent to the customer.

Since version 5.9 email QS is no more available.

Create and edit Auditing-Pool

At the Beginning you have to create one or more auditing pools.
Menu: <font color="darkorange"><b>Settings</b></font><font color="darkorange"><b>E-Mail QS</b></font>

Please click on <font color="darkorange"><b>New auditing Pool</b></font> in the <font color="darkorange"><b>I want to</b></font>-Panel.

Add users

After saving please add the following information:

  • whose emails have to be verified
  • which user is responsible for double-checking the emails
  • which support level is the sender
  • which category has to be verified


In order to add users please click on Hinzufügen, by clicking on entfernt they can be removed.
You can search the list for a specific user by typing the name in the search box.
Manage auditors: These users check the e-mails and decide whether the e-mail has to be revised or not.
In case a revision is necessary the auditor can indicate this in the incident and assign a responsible user for the revision.

Select level and category
You can choose a level and category by ticking the corresponding checkbox.

Verify E-Mails

If you have been assigned as an auditor, your incidents with the corresponding e-mails, which need to be verified, will appear under <font color="darkorange"><b> Incidents </b></font> - > <font color="darkorange"><b> E-Mail QS </b></font>.

You can filter the pool either with the extended search or you can search for a keyword with the simple search.

ColumnDescription
Subject The Subject of the e-mail.
Status Invalid :?:
Received :?: : Recipient has received the e-mail.
Sent :?: : E-mail has been sent.
To Audit: :?: E-mail has to be audited.
Rejected :?: : E-mail has been audited and has to be revised.
Failed :?: : Sending the e-mail has failed. The e-mail can be found in <font color="darkorange"><b>course of solution</b></font>. There you can try to send it again.
Creator :?: User who has created the e-mail initially.
Verantwortlicher :?: User who revises all the e-mails, which are assigned to him/her. Only the assigned e-mails are visible to him/her.
Creation date :?: Date on which the e-mail has been created.

In order to start the verification please click on the subject of the email. Then the e-mail will open in the edit mode.

In this mode you can choose between the following options in the <font color="darkorange"><b>I want to</b></font>-panel:

In the history you have the possibility to see all the information concerning changes in the e-mail and via the link you can even review former revisions.

If you as the auditor are not okay with the e-mail you can reject it. Accordingly you assign the user, who is responsible for the revision.
The creator of the e-mail is selected by default, but you can choose another user, of course.
In case of rejection it is helpful to leave the responsible user a message what needs to be revised.

Furthermore you can also open the appropriate inquiry for further information to have a proper verification.
